*ISS ALERT** Server Maintenance 2-19-11

Our next server maintenance window is scheduled for Saturday, February 19th beginning at 9am. During this time all ISS servers and services will be unavailable. We expect to have all systems nominal by 1pm.

The following functions will be affected, and thus unavailable, during the maintenance window:

Logging in to Local Machines
VPN Access/Remote Desktop
File Server Access (S:, T:, P: drives)
College Web Sites/SFTP
Exchange Mail Services
Printing Services
Service Request System
Servers Hosted for Specific Units
Other Misc. Services Hosted for Specific Units

Please be sure to log out of your machines before leaving for the day on Friday. At the very least, please save and close all documents on the server to ensure data integrity and to help minimize instances of data loss. Your computer should be restarted on Monday if you failed to log out before.

**ISS News**

  As many of you have noticed, changes have been occurring at ISS over the last year. The changes, listed here, are designed to provide a better IT experience for our customers:

 

We have merged all College IT personnel into our group. Nick Giacobe, Don Fink, and Judi Jaus were transferred into ISS. We also instituted geographical service areas and assigned techs to those areas. This helps the tech become more familiar with the needs of their area, and allows the users in that area to develop a rapport with the tech. This is a win on both sides. Our five geographical service areas are North Campus (Justin Gruneberg), West Campus (Nick Giacobe), Central & East Campus (Allen Carles), Henderson Complex (Don Fink), and Downtown (Nick Gallo). We consolidated the Windows domain from the GCRC into our HHDEV domain, and we are planning to consolidate the Kines research domain into the HHDEV domain. This avoids duplication.

We formed an IT Training division led by Shannon Pugh. Shannon has been actively developing training material tailored to our environment. She is available to provide training classes on any IT topic that will help our users make better use of information technology in their teaching and research roles. Currently she is collaborating with Colin Dangler from Nursing on SmartBoard training classes. These will be offered early next year. Please contact her and discuss any training needs you may have. She would be happy to meet with you or your unit.

Another change from the consolidation will allow Chris Greiner to devote more time to consulting. He will avail himself to all College staff to assist with their office and project IT needs. With Chris spending more time “up front” guiding IT purchases and suggesting solutions we will be better able to unify our College’s IT environment. This will improve our service offerings. Chris will also be our primary smartphone configurator. Due to the complexity surrounding smartphones, we saw the need to have one person be responsible for all smartphone requests. We are also doing much more desktop support work remotely, using tools like BigFix and DameWare. This allows us to improve turn-around time and is more convenient for our customers.

We are updating our website to make the information easier to locate. We plan to debut the new site early in the New Year. In the meantime, we have changed our main page by adding a ticker which displays current IT info and announcements, a “Help Button” for times of panic, and a link to our new IT Training page on Facebook. Please take a moment to check out these changes here.

Finally, a major change is scheduled to occur on January 3rd. ISS will be implementing a tiered desktop support model. Our Helpdesk will offer 3 tiers of support. Our staff assistant will provide quick solutions over the phone to callers to our main line, 865-INFO. That staffer will be trained to deal with the more common, easily resolvable issues. The issues they cannot solve will be escalated to our Tier 1 tech. Tier 2 will be called on when the request falls outside Tier 1’s expertise. It is the Tier 2 techs that we have stationed in the 5 geographic areas we cover. Tier 3 will be called on for the most difficult/challenging tasks. From the customer’s perspective, the biggest change will be in how service is requested. We would like to ask that all users follow the guidelines here when they need help. We ask that you please not call the individual technicians. Beginning January 3rd they will now be part of our tiered model and will get their assignments via the model. All calls for support should be placed to 865-INFO or entered as described in the guidelines above.

**ISS Training** ITS Training during Winter-Fest

Adobe’s Tim Plumer to provide training during Winter-Fest

 

During the week of January 3-7, Tim Plumer, Sr. Solutions Engineer at Adobe Systems, will return to Penn State University Park to talk about a variety of Adobe technologies that can enhance the academic experience. These sessions will be offered live, in face-to-face format, and online through Adobe Connect meeting and training software in order to give more members of the Penn State community the opportunity to attend. **ISS Alert** Polycom System UP in 101 HHD East

The Polycom (video conferencing) system in 101 HHD East has been repaired.  Two pieces of equipment failed simultaneously- difficult to comprehend except for the fact that construction is underway in the building.

**ISS ALERT** Network Outage

At approximately 10am this morning The Health and Human Development East, North Henderson and South Henderson buildings lost network connectivity. Telecommunication and Networking Services has identified and corrected the error. Service was restored at approximately 10:20am

From ISS - Advisory - Identity Finder Update

In an effort to continue improving the Identity Finder software we will be changing some options on the Identity Finder toolbar next week.  At this time please do not use the Secure Action on the toolbar. If you have already used this feature please see the attachment (How to Unsecure Data) for help unsecuring the files.

 

ISS will be moving into Phase II of Identity Finder starting next week. Phase II will require you to have a password to logon to Identity Finder.  Please create a password and then initiate the scan.  Directions are attached (Phase II Directions for Identity Finder). 

 

The only Actions you should be using  on the Identity Finder toolbar are the following:

 

Shred-Destroys the file! It is wiped from the disk and cannot be recovered.  We have experienced this with Microsoft Access Databases. Be careful!

 

Scrub-Removes PII from the file and replaces it with XXXXXX.  Use scrub when the file is needed but the data in question is not. Note: Scrub can only be used on office files (excel, word, PowerPoint and .txt). You cannot scrub  PDF files.

 

Ignore- Check the files that are false positives and choose Ignore “This Item Location”.  Now that you have created a password all the files will be ignored and will not return in the next scan.

 

*If you are not sure about a file please burn it to a cd/dvd and remove it manually from your system

From ISS - Advisory - Henderson South Building Wireless 2.0 Upgrade

Notification Summary:
Please be advised that the Henderson South Building will experience wireless downtime on October 7th  between 7:00AM and 11:00AM

 

During this time ISS will be upgrading to the newest wireless services provided by the university. Wireless access will not be reliable during this time.

 

When the work is complete the following wireless networks will be active:

 

·         “pennstate” VPN wireless until July 1, 2011.  This is the service you have been using.

 

·         “psu” Wireless 2.0 will be added. No VPN required.

 

·         “attwifi” for guest access will also be available. Pay for use service.


Notification Details:
A portion of this upgrade includes access to the new “psu” no VPN required wireless internet.  In addition to these new services, ISS has also added additional monitoring capabilities to each piece of equipment connected to the wireless network.  This allows us to be more proactive when problems occur.  Each access point (the antenna device that supplies the wireless signal) has been inspected and upgraded to the latest software to provide maximum performance and security for all connected users.  Many wireless access points have been replaced with new models for better security, reliability, and range.  Some areas have had access points added to expand our wireless access range.

 

“pennstate” VPN wireless 1.0 will be available without any changes until July 1, 2011.  On July 1, 2011 “pennstate” wireless will be turned off. The new “psu” wireless will be the only option for Penn State faculty, staff, and students.  Please plan to upgrade when time permits.

 

Please be aware that these wireless networks should only be used on an as needed basis.  Wired connections in each office are the most reliable and efficient way to connect to the college network.  Please use the supplied wired connection in your workspace when possible.  If you’re having trouble with a wired connection, please submit a service request to info@hhdev.psu.edu or call the help desk at: 5-INFO (865-4636).

 

If you would like assistance in setting up your college supplied laptop computer for wireless 2.0, please submit a service request with the following information:

From ISS - PSA - North Henderson Building Wireless Complete

The North Henderson Building Wireless 2.0 project is now complete.  We experienced a service interruption on Friday due to equipment failure in the TNS telecommunication closet.  They replaced this equipment and the problem was resolved. 

 

This wireless project consists of: (7) wireless access points placed strategically around the North Henderson building on each floor. One component of this upgrade includes access to visitor wireless “attwifi” and the new “psu” no VPN required wireless internet.  In addition to these new services, ISS has also added additional monitoring capabilities to each piece of equipment connected to the wireless network.  This allows us to be more proactive in detecting problems before they impact our users.  Each access point has been inspected and upgraded to the latest software to provide maximum performance and security for all connected users.

When  the system(s) arrives you can let ISS know which operating system you would like to have installed.   Because so many monitor options are available, we did not include monitors in the Dell E-quotes.  If a monitor is needed purchasers can add the monitor  at the time of purchase.
