Least Privileged Mode- A College Wide Effort

The College of Health and Human Development has begun making changes to college computers to make them more secure and to be in compliance with University policies on safe and proper computer use. We have posted information about our most recent endeavor, making Least Privileged Mode the mode of choice for all college faculty and staff, on our Wiki. We have also created a Frequently Asked Questions page which lists issues we have addressed and concerns we have received from our users.

Adobe Connect- What Is It? How Do We Use It?

For those who are not familiar with the Adobe Connect package provided by ITS, please take a look here for information on the Adobe Connect Web-based Conferencing Package.

Adobe Connect is a very powerful tool that enables online collaboration. It works via a web browser like Internet Explorer or Firefox. It is simple to use for straight-forward web meetings, but to take advantage of its powerful and large feature set, additional knowledge and training is required for end-users and facilitators.

To assist the University in supporting Adobe Connect, ISS will provide 2nd level support and guidance to extend its use.  Each unit within the college must provide its own “Adobe Connect coordinator” to meet unit needs and objectives.  This local expert will provide meeting creation, 1st level support and will work with ISS’s technicians on more complex issues.

What is ISS's role with regard to supporting Adobe Connect meetings? Shannon Pugh, ISS IT Specialist, is the Adobe Connect Contact for CHHD. Shannon holds the Adobe Connect licenses for the College and supplies them to unit level coordinators as needed. Unit-level coordinators have responsibility for "creating Adobe Connect meetings" for their staff. ISS will help with the initial training process. All unit level coordinators should attend classes held by ITS. ISS will assist unit staff during the initial setup and learning phase of Adobe Connect adoption if needed. Unfortunately ISS cannot assist with each individual Adobe Connect session.

What is the unit's role in supporting Adobe Connect meetings? The unit is expected to provide local personnel with a base of knowledge about Adobe Connect. This can be accomplished by assigning a unit member (must be a full-time employee, not a student) to attend ITS sponsored training sessions and then contributing that knowledge to facilitate meetings in the unit. In doing this, the local Adobe Connect coordinator will be keenly aware of the program, its proper use, features, high points and pitfalls as well as the needs of the unit. This person will be the "go-to" person for the unit when Adobe Connect meetings are being held. Having a local resource is very important because experience shows that most units need initial help setting up meetings and then someone to turn to quickly while a meeting is in progress. Unit level Adobe Connect support personnel should also considering joining the PSU Adobe Connect Community.

ISS has been exploring Adobe Connect for several months now. We are hoping to make the process of meeting via Adobe Connect more robust by creating an "Adobe Connect Kit". This kit will be added to the ISS loaner pool of equipment when available. For units that are more frequent users of Adobe Connect, ISS suggests that they purchase one or more kits of their own instead of relying on the availability of ISS’s loaner. The cost is expected to be just a few hundred dollars. The return on investment is many times that!

 


Monitoring and Control of College Servers

With the coming of Penn State's Information Privacy and Security Project's (IPAS) second phase, the control and management of institutional data will take on a much higher priority system wide. Our part of this effort will require some changes in how data is stored and managed in our College.

One area of concern for ISS is the operation of servers in CHHD. In order to be prepared to comply with IPAS2, we are embarking on a program to inventory, register, document, and secure ALL servers operating in CHHD. As part of our effort, a form titled "Server Registration" has been created. If you are a "server operator/administrator" please contact ISS as soon as possible and subsequently file a copy of this form with us.

If you are a server operator/admin, you should also familiarize yourself with ISS Policy 04-02. Important information regarding server maintenance and operation has been added to this policy.


Access Account Password Changes

Penn State's new Access Account Password Change Initiative requires all students, faculty, staff (and other Access Account holders) to change their passwords at least once a year to help increase security at the University.

SAS & CHHD


The SAS software package will no longer be administered and funded by the College. ISS will continue to provide user support with SAS as needed. It will be up to each individual user to obtain a copy of SAS from the Computer Store. The Computer Store's pricing this year for a SAS workstation license should be about $30 per license and will include everything as indicated below.  Media will be sold separately.

"Out of Office" Announcement via Email


Have you ever wondered when you get those clever "I am out of the office messages," how that happens??  Most email applications provide this feature but normally you must leave your PC on for this to work. Shutdown that PC, conserve energy, and let Penn State's ITS group do the job for you. You can now take advantage of a service offered by ITS which will return a customized message to each email message directed to your Access Account. For details see: https://www.work.psu.edu/vacation/.


ISS Device Numbers and the CBDB

Information Systems and Services maintains a comprehensive Computer Bank Database (CBDB) for all the academic and research offices in the College that utilize our services. There are many fields of information for each computer, printer, or other technology device listed. It is a challenge to assure the accuracy of the database since we are a "College on the move!" Your cooperation in this endeavor is appreciated.

As part of this program, all devices have been tagged with a "CHHD INFO SYS & SVCS" barcode label. The number on this label is a required field on the ISS Service Request Form. If your computer does not have an ISS number, please advise your Deputy of this when you submit a Service Request so the unit can be tagged if needed.
