Short Term Visiting Scholars
RPTM Policy (Updated 11/5//08)
RPTM Faculty Responsibilities:
• Obtain: Name, credentials, address, email address, proposed dates of visit, proposed compensation and purpose of visit
• Propose a tentative itinerary (e.g., speak in RPTM 590, speak with undergraduate students, formal research presentation, meet in open department context, available to meet in small groups)
• Forward this information to budget assistant no later than May 1 of academic year prior to visit (if a contact is made after that date then faculty may submit a request but funding for the person may not be available)
• Once person is accepted, request a title for the formal research presentation and brief abstract, if applicable.
• Forward this information to budget assistant.
Budget Assistant Responsibilities:
• Based on information provided in request, estimate travel budget
• Distribute request to department head
• Work with department head to determine if sufficient resources exist to support request. If multiple nominations are made in a given year then the speakers will be rank ordered and funds will be distributed accordingly
• Notify person of acceptance or rejection
• Notify faculty of decision and status of person’s request
• Complete necessary paperwork prior to arrival to confirm person’s legal ability to accept compensation
• Arrange travel and housing accommodations as needed, and create itinerary for person
• Arrange for lecture hall and any other needed accommodations.
Department Head Responsibilities:
• Work with budget assistant to determine if sufficient resources exist to support the request
