Visiting Scholar or Doctoral Student
RPTM Policy (Updated 3/13/07)
Responsibilities of RPTM Faculty who is contacted by a prospective visitor:
• Obtain: Name, credentials, degree, country, email address, source of funds (if a
competitive sponsor – the timeline when application is submitted and anticipated date
when notification will be given), interest area potential collaborators or collaborations
while visiting, intended dates to visit, and purpose of visit.
• Forward this information to the PIC of Graduate Studies
Professor-In-Charge of Graduate Studies Responsibilities:
• Distribute request to faculty, including the timeline of how that individual would fit with
other accepted visitors
• Request that faculty respond regarding a willingness to sponsor (i.e., act as ongoing
advocate for the person, orient and work with the person on site)
• If no one is willing to act as a person’s sponsor inform the applicant of the inability of the
department to support their application
• If a faculty member volunteers to be the person’s sponsor, work with department head to
determine if sufficient resources exist to support the person
• Notify person of the acceptance or rejection
• Notify faculty of the decision and the status of the person’s request
Staff Program Specialist Responsibilities:
• Maintain a list and timeline of applicants and those that have been accepted
Department Head Responsibilities:
• Work with PIC to determine if sufficient resources exist to support the applicant
